Anderson Hoare Ltd acts as the data controller for any personal information/data you supply to us in relation to enquiries about our services and registering as a client or candidate.

Anderson Hoare Ltd may need to collect certain types of data such as your name, address, contact details, email address, bank details, NI number, passport, driving license and proof of right to work visas. We may also need to collect more sensitive personal information such as any criminal convictions, educational certifi-cates if relevant to a role.

We need to collect information when you make enquiries about our service, particularly when you submit your CV to us electronically. We also gather information when you use our website, for example, when you contact us about roles or register in person with us – we will need to obtain your consent to retain any of the above.

In addition, we source potential candidates from well-known job board websites. These websites are designed to assist us in the recruitment process – please note that by uploading your contact details and CV on to these websites you are agreeing to their privacy policy with regards to sharing that information with third parties such as ourselves.

We use the data you have consented to supply to help understand your needs and provide you with a better service, for example: • to be able to contact you via email, SMS or phone, about vacancies that we believe you may be inter-ested in or to ensure our records are accurate • to ascertain suitability for roles we are recruiting for • to request your permission to send your CV to named clients • to enable you to submit your CV for general applications, to apply for specific roles or for you to re-ceive information regarding roles which we believe may be of interest to you • to contact you for non-third party marketing/informing purposes. This might be about seasonal work offers, salary surveys, sector analyses etc.

We may disclose your personal information if we are acquired by a third party, in which case personal data held about our candidates and clients would be one of the transferred assets.

Where we have retained a third party to provide services that we, you or our client have requested, including reference, qualifications and criminal reference checking services, verification of the details you have provided from other third party sources, psychometric evaluations or skills tests. These third parties comply with similar undertakings of privacy and confidentiality as Anderson Hoare Ltd.

Some trusted third parties who perform functions on our behalf and who also provide services to us, such as professional advisors, IT consultants carrying out testing and development work on our business IT systems could see your data on occasions. Data Retention

We will only retain your data for as long as there is either a statutory requirement for us to do so or to be able to provide a service to you. For statutory purposes (notably for HMRC and accounts/payroll purposes) this will require us to retain your personal data for a period of up to 6 years after any business relationship has ended. In the normal situation of being able to provide a service to you we will retain your data for up to 1 year and automatically archive your data after this period has expired. Any paper documents are shredded on site during this 1 year period. Please note you may ask for your data to be deleted or amended at any point*. You may also object or place restrictions on us processing your data. Should you wish us to continue working on your behalf after 1 year we will need your consent for us to do so.
